Job Description

Gallery Dept. is seeking a detail-oriented and well-organized Junior Accountant to support its finance team. The role focuses on handling accounts receivable and accounts payable and assisting with various finance-related tasks. The ideal candidate will have strong communication skills, experience with ERP systems (preferably NetSuite), and excellent Excel proficiency (pivot tables, V-lookups). You’ll be expected to handle multiple tasks while maintaining impeccable attention to detail, collaborating with the Controller and Operations teams to improve processes and find cost-saving opportunities.

Responsibilities of Junior Accountant

Accounts Payable (AP) Management

  • Review and verify expense invoices, ensuring all necessary approvals are obtained before entering them into NetSuite.
  • Ensure accurate General Ledger (GL) coding, taking into account location and department allocations for each invoice.
  • Code, enter, and reconcile company credit card statements using Concur, ensuring cardholder submissions are accurate and complete.
  • Maintain a spreadsheet to track Purchase Order (PO) invoices that are pending entry, coordinating with the Senior Accountant to ensure timely follow-up and communication with relevant departments.
  • Actively track vendor payment requests related to development/production, reconcile vendor statements, and provide payment remittance details as needed.
  • Set up payees and process electronic vendor payments, ensuring these payments are accurately posted in NetSuite. Verify matching bank activity in the cash journal to ensure reconciliation.

Accounts Receivable (AR) Management

  • Prepare, post, and verify customer payments, ensuring all transactions are accurately recorded and reconciled in accordance with customer remittances.
  • Identify and resolve discrepancies in payment records through reconciliation efforts, ensuring correct cash application for each account.
  • Review and post daily invoices for wholesale orders based on picking and shipping verifications from the warehouse.
  • Ensure prepayments are collected and verified prior to dispatching goods, coordinating with customers as necessary.
  • Generate and distribute monthly wholesale billing statements, actively following up on past-due balances to ensure timely collections.
  • Partner with the wholesale sales team to approve orders based on current account balances and payment statuses.

Vendor and Customer File Maintenance

  • Maintain accurate digital records for both vendors and wholesale customers, ensuring all documentation is up to date and easily accessible.
  • Complete credit applications, sales forms, and other documentation as needed to facilitate smooth transactions and maintain good customer and vendor relationships.

Collaboration and Continuous Improvement

  • Work closely with the Controller and Operations teams to identify opportunities for cost savings and overhead reduction.
  • Assist the Senior Accountant with various finance-related tasks and participate in efforts to streamline processes within the accounting department.

Other Duties

  • Support the finance team with ad-hoc tasks as needed, ensuring that the company’s financial operations run smoothly and efficiently.

Requirements

Qualifications

Bachelor’s degree or Certification in Accounting or related field.

Experience

2+ years of accounting experience in an ERP system, preferably NetSuite.
Apparel industry experience is a plus.

Skills

  • Proficiency with ERP systems (NetSuite highly preferred).
  • Experience with credit card expense management programs like Concur.
  • Strong Excel skills (filters, pivot tables, V-lookups).
  • Strong understanding of basic accounting principles.
  • Excellent attention to detail and analytical skills.
  • Ability to communicate effectively with vendors, customers, and team members.
  • Ability to meet deadlines, work independently, and collaborate with a team.
