Job Description
The Intake Clerk within the Estates Recovery Unit plays a key role in supporting the recovery of Medicaid and Public Assistance benefits. This position involves researching cases from the Public Administrator’s offices to check their status in the Welfare Management System (WMS).
The Intake Clerk prepares Claims Detail Reports (CDRs) and enters new cases into the Office of Legal Affairs Web Portal (OLAW), ensuring that all completed cases are properly closed. Additionally, the role includes scanning and uploading case information to HRA Oneviewer for accurate record-keeping. The Intake Clerk will assist with various administrative tasks to help facilitate the recovery process. Moreover, it maintains the integrity of public assistance programs.
Responsibilities of the Intake Clerk
The following are the responsibilities of the Intake Clerk at the Department of Social Services Accountability Office (DSS-AO):
- Produce claims for Public Administrators and Counsel within the five boroughs.
- Research cases sent from Public Administrator offices for WMS listings.
- Prepare and run Claims Detail Reports (CDRs) for cases found in WMS.
- Enter new cases in the Office of Legal Affairs Web Portal (OLAW).
- Close completed cases in the OLAW system.
- Scan and upload case documents to HRA Oneviewer.
- Assist Unit Supervisors with administrative tasks as assigned.
- Maintain accurate case records and ensure proper documentation.
- Collaborate with legal teams to ensure proper claim management.
Requirements for the Intake Clerk

Qualifications:
A four-year high school diploma or its educational equivalent approved by a State’s department of education or a recognized accrediting organization.
Experience:
One year of satisfactory clerical experience.
Skills:
- Keyboard familiarity with the ability to type at a minimum of 100 keystrokes (20 words) per minute.
- Excellent verbal and written communication skills.
