Job Description
Turning Stone Enterprises is hiring an experienced and proactive Executive Assistant to support the Chief Operating Officer. This high-level role requires exceptional organizational, communication, and problem-solving skills. The Executive Assistant will manage daily administrative operations, coordinate travel, handle confidential communications, and support various departments as needed. A successful candidate will be polished, flexible, tech-savvy, and able to perform under pressure in a fast-paced environment. The role offers an opportunity to work closely with executive leadership, contributing to company-wide initiatives and smooth operations.
Responsibilities of the Executive Assistant
The following are the responsibilities of the Executive Assistant at Turning Stone Enterprises:
- Manage the COO’s dynamic calendar, including meetings, events, confirmations, and rescheduling.
- Handle travel arrangements including flights, hotels, and itineraries.
- Draft, edit, and proofread documents like memos, emails, and presentations.
- Transcribe and prepare executive reports, charts, and Keynote presentations.
- Schedule, coordinate, and plan internal and external meetings and events.
- Screen and prioritize incoming communication and correspondence.
- Process payroll tasks and verify invoice payments for vendors and partners.
- Maintain confidentiality and exercise discretion in sensitive situations.
- Act as liaison between executives and internal/external stakeholders.
- Assist with various special projects and other department needs.
- Utilize project management tools and office software to improve productivity.
- Foster collaboration across departments to ensure seamless communication.
- Adapt to shifting priorities and demonstrate problem-solving capabilities.
- Provide regular updates on deadlines, project status, and deliverables.
- Offer exceptional service to guests, partners, and coworkers.
Requirements for the Executive Assistant

Qualifications:

Experience:
- 5+ years of executive-level administrative support, preferably with C-suite executives.

- High proficiency in Microsoft Office (Word, Excel, PowerPoint).
- Experience with Apple products.
- Strong analytical and organizational abilities.
- Ability to maintain confidentiality and professionalism.
- Ability to adapt quickly to new systems and processes.
- Collaborative, service-oriented, and results-driven mindset.
- High attention to detail and follow-through.
- Flexibility to work beyond regular hours when required.
Physical Skills:
- Ability to stand/walk for long periods.
- Ability to lift items weighing between 11–20 lbs.
