Responsibilities of the BELAY Virtual Assistant

  • Manage Executive Calendars: Coordinate appointments, meetings, and schedules for busy executives. Ensure alignment with client priorities and availability.
  • Organize and Prioritize Emails: Monitor client inboxes. Filter essential emails, flag urgent ones, and respond as needed.
  • Create Business Documents: Design professional presentations, reports, and spreadsheets using tools like Microsoft Office or Google Suite.
  • Handle Social Media Tasks: Schedule posts, write captions, engage with followers, and help grow online presence.
  • Streamline Client Operations: Build workflows, create systems, and establish processes to improve client productivity.
  • Conduct Research: Explore new technologies and trends. Offer thoughtful recommendations to enhance operations or resolve issues.
  • Maintain CRM Platforms: Enter and update data, ensuring accuracy and organization of client relationship tools.
  • Arrange Travel: Book flights, hotels, rental cars, and manage travel logistics to minimize disruption for clients.
  • Support Event Planning: Help coordinate virtual or in-person events, including logistics, invites, and vendor communication.
  • Offer Personal Assistance: Handle occasional personal tasks such as scheduling appointments or placing online orders.
  • Drive Client Success: Anticipate client needs, identify areas for support, and build long-term partnerships.

Requirements for the BELAY Virtual Assistant

  • Must be available during business hours, Monday through Friday, 8 AM to 5 PM (in your time zone).
  • Cannot be combined with another job that affects your availability.

Experience:

  • At least 1 year of administrative experience is required.
  • 3+ years of experience is strongly preferred

Shifts for the BELAY Virtual Assistant

  • You may choose how many clients or monthly hours you wish to commit to, offering you added flexibility.
